RingCentral Call Forwarding to an External Number (Full Guide)
How to forward RingCentral calls to an external number for an AI receptionist: user rules, call queues, after hours, and the company-level trap to avoid.

If you want RingCentral to forward calls to an external number, here's the direct path: open Incoming call rules on the user or call queue handling your main line, turn on Forward all calls (or set After hours to forward), choose Forward the call, and enter the outside number.
The catch most offices miss: RingCentral's company-level call handling has no external number option at all. If your main number routes through company settings instead of a queue or user, you'll need a different path, covered below.
Dental practices usually want this to route after-hours and overflow calls to an AI receptionist instead of a generic voicemail or answering service. The setup below is checked against RingCentral's own support documentation.
Why this trips people up
RingCentral splits call handling across three separate places, each with its own schedule: company call handling (the main number itself), call queues (a group of front-desk extensions), and individual user extensions. Most setup guides treat RingCentral like a single phone with one forwarding switch. It isn't, and only two of the three, call queues and user extensions, let you forward to an external number.
The third, company-level handling, flatly does not. If your main number is configured at the company level, common for a single-location practice, the "obvious" forward-all-calls toggle won't have an external number choice. You'll see Announcement, Voicemail, a specific user, Company greeting, AI Receptionist, IVR menu, and a few others. No field for a phone number.
Before you start
You'll need:
- Admin access to the RingCentral Admin Portal (
service.ringcentral.com), or call-handling permissions on your own extension. Company call handling requires "Admins with Auto Receptionist permissions in the Phone System." - The AI receptionist's phone number, the external number every rule below forwards to. Comparing vendors first? Our integrations page covers which practice management systems each one books directly into.
- A decision on your office hours, for when calls ring the front desk versus going straight to the AI receptionist.
First, find out where your main number lands: a call queue (front-desk phones, with their own Work hours and After hours settings), a user extension (one person's line), or company call handling (the Auto-Receptionist level). Check your Admin Portal under Phone System before picking a scenario below.
Forwarding a user extension to an external number
If your main number rings a specific person's extension (common for solo practitioners), here's the path.
Desktop or web app:
- Click your profile picture at the top left.
- Click Incoming call rules.
- Click the Forward all calls toggle to turn it on.
- Click Forward all calls, then click the dropdown next to Incoming calls, and choose Forward the call.
- Enter the AI receptionist's number.
- Optionally click Add schedule to set specific dates and times, or leave it off to toggle manually.
- Click Save.
A banner at the top of the app confirms calls are being forwarded, a useful check that the setting took.
If you only want calls forwarded when nobody picks up, use If no one answers instead: Settings > Phone > Incoming call rules > Incoming calls > choose Work hours or After hours > under Ring settings, set how many rings before a call counts as missed (1 to 15 rings, 5 seconds each) > under If no one answers, choose Forward the call and enter the number.

Forwarding a call queue to an external number
Call queues are the better fit for a front desk with multiple phones, and they come with more granular after-hours and overflow controls than a single user extension.
- Sign in to the Admin Portal, go to Phone System > Groups > Call Queues, and click the queue you want to modify.
- Click Call Handling & Members.
- After-hours forwarding: click the After hours tab, set a custom schedule if needed, and under "How to handle calls during after hours," choose Forward to external number.
- Unanswered calls during business hours: click Wait settings, set the maximum caller wait time (up to 25 minutes), and set "When maximum wait time is reached, send caller to" External Number.
- Busy lines: in the same Wait settings tab, set "When members are available but no one answers" to Forward to External number.
- Enter the AI receptionist's number in each case and click Save.
Holiday or closure forwarding with specific start and end dates lives under the same Call Handling & Members panel, as Forward all queue calls.

The company-level trap: why "forward all company calls" has no external number option
RingCentral's company-level routing options, whether company business hours, Forward all company calls, or a company-level custom rule, list the same destinations: Announcement, Voicemail, a specific user, a call queue, Company greeting, AI Receptionist, IVR menu, Shared line, or Limited extension. No external number field anywhere.
If your main number is configured at the company level, two workarounds rely on the settings above:
- Route through a call queue. Set company call handling to send calls to a call queue, then configure that queue's after-hours and wait settings to forward externally.
- Route through an IVR menu. RingCentral's IVR menus support an External Transfer key ("Routes the caller to a specific phone number"), so a "press 1" menu can hand callers to the AI receptionist even though the company default can't.
Either way, test the full chain end to end. RingCentral documents each link but not the combined behavior, including whether caller ID survives the extra hop (see testing below).
Holidays, lunch breaks, and custom rules
RingCentral's custom rules override standard call handling for specific dates or recurring times, including your regular after-hours forward, which is useful for holidays but a common cause of "forwarding stopped working" complaints: an old holiday rule can silently outrank your after-hours setup.
To add one: Settings > Phone > Incoming call rules > Add rule > Create custom rule > name it > set a schedule (weekly for lunch, a date range for a holiday) > set Incoming calls to Forward the call > enter the number > Save. Call queues have the same tab under Call Handling & Members. Run Validate Rules afterward to check for overlaps.
Common problems and fixes
Ring duration confuses callers or cuts off too early. RingCentral counts 5 seconds per ring, so "3 rings" is about 15 seconds and the maximum, 15 rings, is 75 seconds. A shorter ring count on "If no one answers" gets calls to the AI receptionist faster than any other change.
Calls go to voicemail instead of forwarding. Check that "If no one answers" (or the equivalent queue setting) is actually set to Forward the call, not Send to voicemail. RingCentral doesn't document which option is the factory default.
Forwarding "not working" after it worked before. Company business hours, a call queue's schedule, and a user's work hours all run independently; if they drift out of sync, calls hit the wrong rule at the edges of the day. Check for a custom rule overriding the forward you expect, too.
Test it before your patients do
Run three test calls before you rely on any of this:
- Call during open hours and let it ring out. Confirm the call reaches the AI receptionist only after the number of rings you expect, not immediately and not never.
- Call after hours. Confirm the AI receptionist answers right away.
- Call from a cell phone, not your office line, and check what number the AI receptionist sees. Most offices skip this one. An AI receptionist uses the caller's real number to recognize returning patients and to put the correct callback number on any task it creates. If RingCentral passes through the office number instead, that recognition breaks silently.
What the AI receptionist does once the call reaches it
Once RingCentral hands a call off, an AI receptionist like Enamly can check real-time availability in the practice's own scheduling system and book new and returning patients directly, rather than just taking a message. It also triages emergencies like pain or swelling, answers hours and insurance questions, and creates a task for the front desk with full context whenever something needs a human.
If a patient speaks Spanish, it offers to continue in Spanish. Every call is logged with a recording, transcript, and summary in the practice's dashboard.

RingCentral's own AI Receptionist (AIR), treated fairly
RingCentral sells its own AI Receptionist, AIR, worth knowing about before routing to a third-party AI instead. AIR reached general availability in June 2025.
Per RingCentral's AI Receptionist pricing page (read October 2026), AIR runs standalone starting at $49 per month with 100 minutes included, or as a RingEX add-on starting at $39 per month with 100 minutes, with $0.50 per minute overage. RingCentral states AIR "is designed to support HIPAA compliance, with built-in encryption, access controls, and audit logging," a general platform claim, not a dental-specific one.
On booking, RingCentral's own documentation says AIR connects to Google, Outlook, or Calendly calendars. No dental practice management system appears in the AIR documentation reviewed, worth weighing if direct PMS booking matters to your practice. Key takeaways
- RingCentral has three separate call-handling layers (company, call queue, user extension), and only call queues and user extensions can forward to an external number.
- Company-level call handling, including "Forward all company calls," has no external number destination; route through a queue, a user, or an IVR menu's External Transfer key instead.
- RingCentral counts 5 seconds per ring, so the ring count you choose directly controls how long a caller waits before the call forwards.
- Custom rules (holidays, lunch) override standard call handling, so an old rule can silently block a forward you set up correctly.
- Always test from a cell phone after setup to confirm the AI receptionist sees the real caller's number, not the office line.

Frequently asked questions
How do I forward RingCentral calls to an external number?
In the RingCentral app, open your profile picture, click Incoming call rules, turn on Forward all calls, choose Forward the call, and enter the external number. For a call queue, an admin sets this in the Admin Portal under Phone System > Groups > Call Queues > Call Handling & Members, choosing External number as the destination.
Can I forward all company calls on RingCentral to an outside number?
Not directly. RingCentral's company-level call handling, including Forward all company calls, does not offer an external number destination. Route company calls to a call queue or user extension that is itself set to forward externally, or use an IVR menu key set to External Transfer.
Why does RingCentral call forwarding not work for an after-hours AI receptionist?
The most common cause is that the If no one answers setting is still pointed at voicemail instead of Forward the call, or a custom rule (like a holiday rule) is overriding the after-hours rule, since custom rules take priority over standard call handling in RingCentral.
Does the AI receptionist see the real caller's phone number after RingCentral forwards the call?
It should, but RingCentral does not fully document caller ID behavior on forwarded legs. Make a test call from a cell phone after setting up forwarding and confirm the AI receptionist's caller ID shows that cell number, not your office number.
